How I Saved $168/Year Per User: The AI Email Stack

πŸš€ Are you still paying the "$14/mo per user" Google Workspace tax?

πŸ’¬ For a team of 5, that's $840/year for... an email inbox. In 2026, there is absolutely no reason to pay this.

I moved my entire stack to a $0/mo AI setup last month.

By combining simple AI automation with a custom relay, I get the same pro features for free.

βœ…

Unlimited custom domains.

βœ…

AI-powered spam filtering.

βœ…

Complete privacy (no data scraping).

πŸ’‘ AI Efficiency Tip

Efficiency isn't just about moving faster. Every dollar you save on fixed overhead is a dollar you can reinvest into acquisition.

If you value your runway, stop sending money to Google for basic hosting.

The "Google Workspace Tax"

Most founders start by reflexively signing up for Google Workspace.

They pay $7, $14, or even $22 per user.

Every. Single. Month.

Just for a custom @brand.com email address.

For a small team of 3, that’s up to $504/year.

I call this the "Founder Tax."

And you shouldn't be paying it.

In this guide, I'll show you the exact AI-powered stack I use to stay professional for $0/month.

Step 1: Breaking the Preset Lock

If you bought your domain on a platform like Squarespace, they often try to force you into their "partner" email services. To build your own stack, you first need to clear out the "Furniture"β€”the legacy DNS records that keep your domain tied to old providers.

1
Delete Legacy Records

I found my domain was locked into a Mailgun preset. To fix this, I had to manually delete the MX and TXT records that were pointing to the old provider.

Step 2: Free Inbound with ImprovMX

Next, we need a way to receive emails. Instead of a paid inbox, we use a forwarder. Anything sent to hello@yourbrand.com gets instantly pushed to your personal @gmail.com account using ImprovMX.

2
Routing Rules

I used ImprovMX to create a routing rule. All it takes is updating your MX records in your domain registrar to point to their servers. Within minutes, the "tubes" were connected.

Step 3: Marketing Outbound with Loops

Forwarding is great for personal messages, but for marketing sequences and newsletters, you need a high-deliverability engine. For this, I chose Loops.so.

3
Domain Verification

Loops allows you to send from your branded domain. You just need to verify three CNAME records (DKIM) and update your SPF record to include their servers. This ensures your emails don't hit the spam folder.

Step 4: The Gmail Reply "Hack"

The final piece of the puzzle: How do you reply to users so the email looks like it's coming from @yourbrand.com instead of your personal Gmail?

4
Gmail 'Send Mail As'

Using a Google App Password, you can configure your personal Gmail to 'Send Mail As' your branded domain. It uses Google's own SMTP servers to relay the message, keeping everything professional and free.

The "Reply-To" Fix

After setting up forwarding, you might notice a weird bug: when you hit "Reply", the "To" field is filled with your own brand address instead of the original sender's. This happens because Gmail doesn't automatically realize that @yourbrand.com is "you." Here's how to fix it in 30 seconds.

πŸ”§ Critical Fix: "Treat as an Alias"

Go to Gmail Settings > Accounts and Import. Find your @brand.com address and click "Edit Info". Make sure the "Treat as an alias" box is CHECKED. If it's unchecked, Gmail treats the incoming mail as if it were addressed to a third party, which breaks the reply logic. (Note: You may need to re-enter your SMTP/App password to save this change).

The Final Verdict: $168 Saved Per User

By spending 30 minutes setting up this stack with the help of AI, I eliminated the core "Founder Tax" β€” $14/mo per user in Google Workspace fees. Here is the full breakdown:

Service Old Way Cost AI Stack Cost
Email Hosting (per user) $14/mo (Google Workspace Standard) $0/mo (ImprovMX + Gmail SMTP)
Newsletter / Marketing $20/mo (Mailchimp Essentials) $0/mo (Loops Free Tier)
Reply Interface Included in Workspace $0/mo (Gmail "Send Mail As")
TOTAL $408/year $0/year

The $168/year is the email hosting savings per user β€” the direct replacement for Google Workspace Standard. Add Loops replacing Mailchimp and the total annual savings climb to $408/year for a solo founder. This isn't just about saving money β€” it's about building a leaner, more resilient business. With AI as your co-pilot, you can manage these "technical" setups yourself in a single afternoon.

πŸ’‘ "But I'm on the Starter plan..."

Even if you're on Google Workspace Business Starter at $7/mo ($84/year per user), this stack still saves you $84/year. The $168 headline assumes Standard β€” which is the tier Google defaults you to and most founders actually end up on. Either way, you're paying for storage and admin features you don't need just to get a custom email address.
